Essential Paperwork for Crew Travel: Is Your Joining Pack Ready Offline?

Your company has sent the documents. The ticket is in one email, the joining letter is attached to another, and your signed contract is somewhere in the thread you replied to yesterday.

Everything has been arranged. But can you open the right file without an internet connection?

Essential paperwork for crew travel often arrives electronically long before you leave home. Keeping that joining pack organized and available offline is a small step that makes the journey easier—from checking your booking reference to retrieving a company letter during transit.

Wave – The Seafarers’ Digital Wallet gives those files a place alongside your certificates and professional records, on the phone you already carry.

Your Joining Pack Contains More Than Certificates

A crew department may arrange your flights, coordinate your medical, provide travel letters, and send the documents you need to complete before joining.

Depending on the company and assignment, your electronic pack may include:

    • A company travel or joining letter, sometimes addressed “To Whom It May Concern.”
    • Your electronic ticket or itinerary, including the booking reference or Passenger Name Record (PNR).
    • Your Seafarers’ Employment Agreement or other employment contract.
    • Joining instructions and local agent contact details.
    • Hotel, airport pickup, and transfer arrangements.
    • Signed acknowledgement of the company’s drug and alcohol policy.
    • Acceptance of employment terms, company policies, or other pre-joining declarations.
    • Medical and professional documents relevant to the assignment.

The exact forms and titles vary. Some documents support travel, others record employment terms or confirm that you have completed a company requirement. They will not all be requested at an airport, but retaining your own completed copies keeps the information available throughout the contract.

When a form requires your signature or acceptance, complete the company’s process first. Then save the final version you are entitled to retain.

The Email Was Delivered. Is the Attachment Available?

Receiving a document and having it available offline are different things.

An email may remain visible while its attachment still needs to download. A link may lead to a portal that requires a fresh login. An itinerary may have been replaced by a revised version further down the conversation.

Before travelling, open each relevant file and check its contents. Confirm that the joining letter refers to the correct vessel and that the ticket shows the current route. Make sure your saved contract or acknowledgement is the completed version rather than the blank form originally sent.

This is where a personal document wallet becomes useful. You can keep the files you need together instead of treating your inbox as the only place to retrieve them.

Put Your Travel Documents in Wave

Wave includes a Travel Documents category for organizing the records that accompany your journey.

Import the electronic PDFs or images you receive, using clear titles that identify their purpose. For example:

    • “Joining Letter – Vessel Name – October 2026”
    • “Flight Itinerary – Latest Confirmed Route”
    • “Employment Agreement – Signed”
    • “Drug and Alcohol Policy – Signed Acknowledgement”

Use the relevant category for each record. Travel instructions belong with travel documents; employment or policy records can be organized under the category that best fits your setup.

If you receive a complete pack as one PDF, retain that file with a clear name and check every page. Keeping important documents as separate records can make them easier to find individually, especially when you need only the joining letter or ticket.

For paper documents, create readable scans or photographs before putting the originals away. Include every relevant page, signature, stamp, and reverse side.

Wave’s Smart Scan can help capture supported document details. Review any extracted information against the source. A travel letter, ticket, and company declaration have different layouts; storing a readable copy remains valuable even when details need to be entered or corrected manually.

Find the Letter Without Searching the Entire Pack

A company letter addressed “To Whom It May Concern” may explain that you are travelling to join a vessel and identify the relevant company, ship, or destination.

Keep the current version easy to recognize. If the vessel, joining port, or travel arrangements change, check whether the company needs to issue a revised letter.

Wave’s Global Search helps you retrieve stored records using recognizable terms. A clear title makes the difference between finding “Joining Letter” and opening several files named “Attachment” or “Scan.”

The same applies to your itinerary. Keep the booking reference or PNR readable on the saved document. It identifies the reservation; it is different from an e-ticket number and does not replace a boarding pass.

Follow the company’s instructions about printed letters and other originals. Where an electronic copy is accepted, a locally saved file is convenient to present. Where paper or another official format is required, carry that version as well.

Keep Your Signed Copies Through the Contract

Your employment agreement and completed acknowledgements remain useful after the flight.

You may want to review an employment term, check what you signed, or retrieve the final version of a declaration. Keeping your own copy avoids having to reconstruct the exchange from sent emails months later.

For documents such as drug and alcohol policy acknowledgements, preserve the actual wording and signed version provided through the company process. An acknowledgement of a policy is different from a medical result or a drug and alcohol test record.

Only retain and share records you are authorized to hold. Company documents can contain personal or confidential information, so check the recipient before sending a copy.

When the Journey Changes, Update the Files

A new itinerary may also mean a different arrival time, pickup arrangement, hotel, or joining letter.

When the office sends a revision, save it and distinguish it clearly from the previous version. Avoid relying on a file labelled “latest” without checking its contents.

    Keep these details readily available:

    • The confirmed route and booking reference.
    • The current joining letter and instructions.
    • The agent’s contact number, including an out-of-hours contact where supplied.
    • The company or travel contact responsible for disruptions.

A changed transit point can also affect travel-document requirements. Confirm revised arrangements with the designated company or travel contact. The IATA Travel Centre provides a useful reference for passport, visa, and travel-health requirements, alongside the instructions applicable to your particular journey.

Do the Airplane-Mode Check Before Departure

Once the documents are saved, test them.

Put your phone in airplane mode and open the specific files you expect to use:

    1. Your company joining letter.
    2. Your current itinerary and booking reference.
    3. Your signed employment agreement.
    4. The professional documents required for the assignment.
    5. Your saved arrival instructions and contact details.

Check that every necessary page opens and remains readable when enlarged.

Wave is built for offline-first access to saved records. That helps you review documents during transit or at sea without depending on a live connection. Sending a file or receiving a revised version still requires connectivity.

Protect the phone with a strong passcode, keep it charged, and carry printed documents or originals where required. Our guide to original vs digital maritime certificates explains why a personal copy and an official document can have different roles.

Give the Documents Already in Your Inbox a Better Home

You do not have to wait for a missing certificate or a difficult journey to benefit from Wave.

Start with the pack your company has already sent. Save the joining letter, import the itinerary, retain your signed contract, and organize the completed forms you need to keep. Add your current certificate copies alongside them.

With Travel Documents, Global Search, document sharing, and offline-first access, Wave helps turn separate attachments into a personal record you can actually use.

Your crew department has done the work to prepare your journey. Keep that information within reach from the moment you leave home.
