Your documents are on your phone. Your next contract is approaching. One of your flag state documents needs renewal.
What if you could move from checking its expiry date to preparing and submitting a renewal application—all from the same app?
This is a hypothetical question about how maritime paperwork could become easier. It is an invitation to seafarers to share what would make the biggest difference in their working lives.
The paperwork behind your next contract
For a seafarer, preparing for a new assignment can mean gathering documents from several places: email attachments, scanned copies, personal folders, and previous applications.
You may have the required paperwork, but still need to identify the right version, check its validity, and find the correct submission channel.
Now imagine dealing with that while finishing a contract, travelling home, or preparing to join another vessel.
The question is simple: could a more connected digital experience reduce some of that effort?
Imagine starting with the documents you already have
In this hypothetical experience, you would begin with your own organized document wallet.
You could select the document requiring renewal, review the supporting paperwork needed for that application, and choose the relevant files already stored in your wallet.
Rather than assembling everything again, you would have a clearer starting point.
Any such process would need to reflect the requirements of the relevant issuing authority. A convenient app would still need to guide you through the correct application.
Imagine knowing where your application stands
Submitting paperwork is one part of the experience. Knowing what happens next is another.
Imagine opening the same app to see whether your application had been received, whether additional information was requested, or whether a decision was available.
For someone moving between vessels, ports, and time zones, that visibility could make planning easier.
It would also help answer a familiar question: “Do I need to do anything else?”
Convenience with clear responsibilities
Applying through an app would not mean automatic approval.
Document review, eligibility decisions, and issuance would remain with the relevant authority. The value of a connected experience would be in making preparation, submission, and communication easier to follow.
It would also need careful handling of personal information, clear consent before documents are shared, and a reliable connection when submitting an application.
What would matter most to you?
Would you value fewer repeated uploads? A clearer checklist? Easier submission? Better visibility after applying?
Different seafarers may have different priorities. The best place to begin is with the people who handle these documents throughout their careers.
What is the most frustrating part of renewing your flag state documents: collecting paperwork, submitting the application, or following up on its progress?
